Quill CRM Hygiene
Specialized agents that keep your CRM clean
AI agents that clean up your Salesforce or HubSpot for you: they merge duplicate accounts, fix broken hierarchies, and fill in the fields your reps skip, so you can finally trust your data.
The problem
You can't build anything on data you don't trust
Your data is the foundation for everything you do, and everything that touches your CRM inherits its quality: your forecast isn't accurate with duplicates in your pipeline, and territories and comp plans take a week of manual checks. Deploy AI on top and it gets worse: point an agent at an untrustworthy record and it produces an untrustworthy answer, confidently, and at scale.

How it works
An agent fleet that understands your business
Our agents learn how your business operates
Generic cleanup rules fail because they don't know that two similarly named entities are separate businesses at your company, or that merging a customer record breaks your invoicing. Our agents learn from behavioral patterns in your CRM and tune themselves to your objects, your fields, and your custom rules. Turn them on and watch them work.
Self-healing, and more intelligent over time
Every approval, dismissal, and correction feeds back into your agents, so the longer they run, the better they understand how your business works and the more they can do on your behalf.
Your agents have memory
Tell them once that two similarly named companies are genuinely separate, and they'll never propose that merge again. Everything you teach them carries forward, so you never answer the same question twice.
Backed by evidence
Your agents find issues backed by evidence from your data + web research and present recommendations for you to one-click approve.
Two account records resolve to the same company. One is a paying customer, so this is a copy-and-archive rather than a merge.
- Primary
- Acme Robotics · acme.com · Customer since 2023 (0018c00002LmQrT)
- Duplicate
- Acme Robotics Inc. · www.acme.com/ · Prospect, no owner (0018c00002PnWsK)
- Signal
- Exact domain match after normalizing, name stem identical
Proposed fix
Copy the three fields that exist only on the duplicate (billing contact, employee count, source campaign) onto the primary, then archive the duplicate. The primary's record ID is preserved, so invoicing and ARR reporting are untouched.
A deal moved to Closed Won with no countersigned order form attached, and the amount on the record doesn't match the last approved quote.
- Deal
- Northwood Systems, renewal, $412,000, closed 11 days ago (0064x00000ABcDe)
- Attached
- Proposal deck, unsigned MSA draft. No executed document.
- Mismatch
- Latest approved quote reads $438,500
Proposed fix
Send the drafted note to the deal owner asking for the executed form and the correct value, flag the record as unverified revenue until it arrives, and re-check daily. Nine other closed deals this quarter are in the same state.
Six accounts are subsidiaries of a company you already sell to, but all six sit as top-level accounts with no parent, so nothing rolls up.
- Parent
- Meridian Group · $1.9M ARR · 4 open deals
- Children
- Meridian Logistics, Meridian Freight EU, Kestrel Haulage (acquired 2024), and 3 more
- Signal
- Shared registered entity and billing domain; two matched on acquisition records, not on name
Proposed fix
Set Meridian Group as parent on all six and leave the child records otherwise untouched. Account-level ARR and open pipeline roll up correctly afterward. One candidate was excluded: Meridian Partners LLP is a separate legal entity with no ownership link, and the agent won't attach it without you saying so.
Your CRM
We understand the nuances of your CRM
While the problems are universal, the mechanics are not. Merging accounts in Salesforce and merging companies in HubSpot fail in different ways, for different reasons, and with different downstream impacts. Our agents are built to be highly performant across different platforms.
Salesforce
Leads and Contacts are separate objects, Opportunity Contact Roles sit empty, and hierarchies break when the Parent Account field is wrong. Our agents understand the Salesforce object model and fix these issues across your entire instance.
HubSpot
HubSpot runs on associations, so one broken association means broken reporting, and native dedupe misses the cases that cost you. Our agents understand the full association graph and fix the issues other tools miss.
On a different system? Most of our customers are on Salesforce and HubSpot, but we want to hear from you if you're on Microsoft Dynamics 365, Attio, Pipedrive, Zoho CRM, Monday CRM, or Copper, or if your pain lives in a system that touches the CRM, like billing, a data warehouse, or a support desk. We're constantly integrating with new systems: get in touch and influence our roadmap.
Autonomy & control
Decide how much autonomy your agents get
Give your agents different levels of autonomy. Most teams start by reviewing everything and then promote their agents to auto-approvals and fully autonomous.
Audited and traced
Every change an agent or human makes in your CRM is audit logged. You can undo changes made through Quill and track complete edit history.
FAQ
What is Quill CRM Hygiene?
Quill CRM Hygiene is a CRM data hygiene platform: a fleet of specialized agents that find data quality problems in your CRM, use sophisticated reasoning to propose fixes, and clean things up as autonomously as you'd like. Our agents are powerful, secure, and long-running so you can trust the data your business runs on.
What is CRM data hygiene?
CRM data hygiene is the ongoing work of keeping the records in your CRM accurate, deduplicated, and complete: merging duplicate accounts and contacts, fixing hierarchies, filling missing fields, and removing dead data. Most teams do it manually or not at all. Quill automates it with specialized agents that run continuously.
Who is Quill built for?
Quill is built for RevOps, GTME, and Sales Ops teams who own CRM data quality. We also work with finance and RevRec teams who need reliable records for reporting, companies that grew through acquisition and are managing, migrating, or merging CRMs, and teams that want to deploy AI on their CRM but do so without hurting its integrity.
How do we get started?
We run a thorough diagnostic that pairs sophisticated web research with reasoning over your data. We learn from your records, field conventions, and more, to propose a set of Quill agents that will immediately have an impact on your business, each customized for your needs. You can then turn them on in the platform.
How is this different from a dedup tool?
Deduplication is just one of the many things we can do. Our platform is agentic by nature meaning it's self-healing, and gets more intelligent over time. Rather than being bound to rigid rules, our agents adapt to your business and remember the feedback you provide. Our agents reason about the record and its consequences, and explain themselves before acting.
What if an agent gets something wrong?
Dismiss it and say why. That answer becomes a rule the agent applies from then on, so the same wrong proposal doesn't come back. Nothing is hard-deleted, merges archive rather than destroy, and every write is logged with the reasoning and the source behind it.
Can you build an agent for a problem specific to us?
Yes, and that's usually the most interesting part of a deployment. Every agent in the library is customizable to your rules first, and several of them started life as one customer's odd-shaped problem. If your data turns up something the standard set doesn't cover, we build for it.
What happens to our data?
Quill is built for security-conscious companies and regulated industries. We don't train on your data, and are HIPAA and SOC 2 compliant. Details are on our security page.
