The short answer: If your cleanups don't hold because integrations, forms, and imports keep creating new duplicates, we recommend Quill CRM Hygiene, which runs AI agents that find and fix issues continuously and are built and tuned for you by our team. Every change is audit logged and can be undone. If you want a lower-cost self-serve dedupe tool, Koalify (HubSpot only) and Dedupely (HubSpot, Salesforce, and others) are the closest swaps. On Salesforce, the established options are DemandTools, Cloudingo, and Plauti.

Insycle
What it is. Insycle is a data management platform that connects to HubSpot, Salesforce, Pipedrive, Intercom, Mailchimp, and a few other systems. It has eight modules: Merge Duplicates, Transform Data, Cleanse Data, Magical Import, Bulk Operations, Group and Update, Grid Edit, and Data Validation.
Strengths. You can match with fuzzy logic (so "Acme" matches "Akme"), ignore business suffixes, subdomains, and URL paths, compare related fields such as email domain against website, and set ordered rules that decide which record survives. Preview mode produces a CSV of every duplicate group before anything changes. Saved templates chain into Recipes, which run hourly, daily, weekly, or monthly, or from a HubSpot workflow or Salesforce Flow. Every plan has unlimited users, and the HubSpot App Marketplace listing shows a 4.7 rating across 65 reviews.
Limits. Your team builds and maintains every template and Recipe. Tickets and custom objects in HubSpot, and custom objects in Salesforce, are add-ons. Price is tied to your record count and is recalculated at renewal.
Best for. Hands-on admins who want one self-serve toolkit for dedupe, formatting, imports, and bulk updates.
Pricing. For up to 100,000 records, Starter (one module) is $100 per month billed annually, Growth (two modules) is $150, and Professional (all modules) is $200. Monthly billing costs 25% more. Enterprise is contact sales. There is a 14-day trial.
Why teams look for Insycle alternatives
In our conversations with RevOps teams, it comes down to four reasons:
- The cleanup doesn't hold. A large job gets the data clean, and then integrations, forms, and imports create duplicates again.
- Someone has to own the templates. A person configures, tests, and updates every matching rule and Recipe when the business changes.
- Rules miss the hard cases. Fuzzy matching catches typos. It won't connect a subsidiary to its parent, or a second copy of a customer under a new domain, unless you write a rule for each case.
- Price or scope. Some HubSpot-only teams need only dedupe and want something cheaper. Others need much more than dedupe.
One RevOps team we now work with ran month-long cleanups in Insycle, and someone still merged duplicates by hand for 10 to 30 minutes a day. Insycle did what it was configured to do. Their integrations created new duplicates faster than scheduled jobs and manual merges could catch them.
How we compared them
We compared the tools using each vendor's documentation, pricing pages, and marketplace listings as of October 7, 2026, plus what we see in customer CRMs, and we did not run a head-to-head test. We judged each tool on how it finds duplicates, whether it keeps working after the first cleanup, what it costs, and two questions that matter more as your data grows:
- Governance. Is every change recorded in an audit log, can a change be undone, and can you decide which changes need a person's approval?
- Learning or hand-maintained rules. Does the tool learn from your corrections, or does someone on your team rewrite the rules each time it gets a match wrong?

Quill vs Insycle
Quill CRM Hygiene (tryquill.com) is a set of AI agents that find and fix data quality problems in your CRM. With Insycle, you build and maintain the logic. With Quill, our team builds the agents for your data, and they keep running after the first cleanup.
Why teams choose Quill
- Nobody on your side maintains templates. Our team runs a free diagnostic first, then builds the agents and handles the upkeep, so there is no template or Recipe for your admin to rewrite when the business changes.
- It learns from corrections. Each approval, dismissal, and correction teaches the agents. Reject a proposed merge once because the two companies are separate, and that pair doesn't come back.
- It runs continuously. The agents catch new duplicates as integrations, forms, and imports create them, so nothing waits for the next scheduled job.
- It has undo and an audit log. Every change, whether an agent or a person made it, is logged with its full edit history and can be undone through Quill, and you pick the level of autonomy.
- It does more than duplicates. The agents also fix broken hierarchies, missing and inconsistent fields, stale pipeline, orphaned records, and leads not matched to accounts, and we build custom agents for problems specific to your data.
An example. Take a typical case. A fuzzy-match template catches "Acme" and "Akme". It does not know that "Hill Logistics" is a subsidiary of an existing customer, or that a prospect record is a second copy of a customer under a new domain. Quill's agents look at domains, contacts, activity, and the web to connect them, and they show why.

What a proposed fix looks like in Quill. The companies and numbers are illustrative.
Quill is also SOC 2 Type II and HIPAA compliant and works with Salesforce, HubSpot, Attio, and other CRMs, including across two CRMs.
| Insycle | Quill | |
|---|---|---|
| How duplicates are found | Templates you configure: exact, fuzzy, partial, and related-field matching | Agents weigh names, domains, addresses, contacts, activity, and web lookups, and reason about whether two records are the same business |
| Who maintains the rules | Your team builds and updates templates and Recipes | The Quill team builds and tunes the agents |
| Learns from corrections | Templates run as configured until you edit them | Yes, from every approval, dismissal, and correction |
| One-time or continuous | One-time jobs, or Recipes on a schedule | Agents run continuously |
| Review and evidence | Preview CSV of duplicate groups before a run | Evidence on each proposed change, with the approval level you choose |
| Undo and audit log | The Activity Tracker logs every operation. There is no one-click undo, but you can partly revert by re-importing "before" values | Every change is audit logged with full edit history and can be undone through Quill |
| Beyond duplicates | Formatting, bulk updates, associations, assignment | Hierarchies, field quality, stale pipeline, and custom agents |
| CRMs supported | HubSpot, Salesforce, Pipedrive, Intercom, Mailchimp, and a few other systems, each cleaned on its own | Salesforce, HubSpot, Attio, and other CRMs such as Microsoft Dynamics 365, Pipedrive, and Zoho CRM, including matching across two CRMs or orgs |
| Imports | Magical Import validates and matches CSV rows | Matches list imports to existing records before they reach your CRM |
| Security and compliance | SOC 2 Type II, third-party penetration tests at least annually, encryption in transit and at rest. HIPAA: not stated on their site | SOC 2 Type II and HIPAA compliant, regular third-party penetration tests, never trains foundation models on customer data |
Two related products cover what cleanup tools don't. Quill RevOps MCP checks the changes that AI assistants such as Claude or ChatGPT make against your RevOps rules, and Quill Data Capture turns calls, meetings, Slack, and email into CRM updates.
Limits and where Insycle fits better. Quill has a setup step that a marketplace app doesn't: a free diagnostic, then agents built for you. A small, one-off cleanup is cheaper in Insycle or Koalify. Insycle is also a good choice if you have an admin who enjoys building cleanup logic, your duplicates come from a few predictable sources, and you want a low, published monthly price.
Is Quill a replacement for Insycle?
For deduplication and ongoing CRM hygiene, yes. If you rely on Insycle for one-off bulk edits or formatting jobs that you like running yourself, you can keep it for those.
Can I use Quill and Insycle together?
Yes. Some teams keep Insycle for bulk updates their admin runs by hand and let Quill's agents handle duplicates and data quality issues continuously. The steps below keep the two from merging the same records.
How much does Quill cost compared to Insycle?
Insycle publishes prices that scale with your record count, starting at $100 per month billed annually for one module and up to 100,000 records. Quill starts with a free diagnostic and is then priced on your data, because the agents are built for your specific problems. Get a free diagnostic and we will show you what we find in your data before you commit to anything.
How to move off Insycle
These steps apply whichever tool you move to.
- List what you run. Write down every template and Recipe you run in Insycle, what each one does, and which ones run on a schedule.
- Split the work. Decide which jobs the new tool takes over and which bulk edits you still want to run by hand.
- Test before you switch. Run the new tool on a sample or in review-only mode before you turn off scheduled Recipes.
- Keep one tool merging each object. Never let two tools auto-merge the same object at once. Turn off the Recipe for an object before the new tool starts merging it.
- Export your history. Export your Activity Tracker history before you cancel, so you keep a record of past merges.
- Check your renewal date. Annual plans renew on record count, so know the date before you set a timeline.
Quill's free diagnostic reviews your existing Insycle jobs as part of setup.
HubSpot alternatives to Insycle
Our comparison of HubSpot deduplication tools has the full write-up of each tool below.
HubSpot's duplicate tools and Data Hub
HubSpot lists suspected duplicate contacts and companies in a tool that comes with Professional and Enterprise subscriptions, and Data Hub Professional and Enterprise add bulk merge and up to two custom duplicate rules per object. It is best for HubSpot teams with moderate duplicate volume who already pay for a Professional hub. The basic tool costs nothing extra, and Data Hub Professional starts at $720 per month billed annually.
Koalify
Koalify is a HubSpot-only deduplication app that covers contacts, companies, deals, tickets, and custom objects, with rules you write and bulk merging through HubSpot workflow actions. It is best for HubSpot teams whose main problem is duplicates and who want continuous merging at a low cost. It is free for portals under 10,000 records, then $5 per 10,000 records per month billed annually, capped at $500 per month.
Dedupely
Dedupely is a rule-based deduplication tool for HubSpot, Salesforce, Pipedrive, Close, and a few other tools, with fuzzy matching, field-level merge rules, and scheduled auto merge on every plan. It is best for small teams that need simple dedupe, sometimes across more than one tool. Plans start at $32 per month billed annually for up to 30,000 records, and the free trial includes 20 merges.
Salesforce alternatives to Insycle
Our comparison of Salesforce deduplication tools has the full write-up of each tool below. All three work on one org at a time, so to match accounts across two orgs, see our guide to deduping accounts across two Salesforce orgs.
DemandTools (Validity)
DemandTools is a Salesforce data quality product that covers duplicate management, data loading, mass updates, and email verification, with matching scenarios an admin designs and merges that can be undone from restore files. It is best for Salesforce admins who run heavy data operations themselves. Validity does not publish pricing, so contact sales.
Cloudingo
Cloudingo is a dedupe and cleanup tool for Salesforce with public, per-org pricing, and every plan includes mass merge, scheduled automation jobs, and an import wizard. It is best for Salesforce orgs that want a published annual price. Standard is $2,500 per year, Professional is $6,000 and adds real-time merge, undo, and up to three custom objects, and Enterprise is $10,000. There is a 10-day trial.
Plauti
Plauti is a data quality platform that runs natively inside Salesforce and Microsoft Dynamics 365 and prevents duplicates during manual entry, imports, and API writes as well as cleaning existing ones. It is best for Salesforce or Dynamics teams that want to block duplicates at entry. It is free for up to 10,000 records with basic functionality, according to its AppExchange listing, and paid plans are quoted by sales. There is a 14-day trial.
Openprise
What it is. Openprise is a data orchestration platform for cleansing, deduplication, lead-to-account matching, enrichment, scoring, and routing.
Strengths. One platform covers the whole data pipeline, with more than 400 prebuilt connectors and unlimited user seats.
Limits. It needs setup and an owner on your team, and its starting price is far above Insycle's.
Best for. Enterprise operations teams that want one system for their whole data pipeline.
Pricing. Professional starts at $35,000 per year. Enterprise is contact sales.
What is the best alternative to Insycle?
For teams whose duplicates keep coming back after each cleanup, or who don't have time to maintain templates, we recommend Quill CRM Hygiene, because its agents are built and tuned for your data, run continuously, and match beyond fixed rules. Every change is audit logged and can be undone, and our team handles the setup and upkeep. For a lower-cost HubSpot-only dedupe tool, Koalify is the closest swap, and Dedupely is the simplest option across several CRMs. For a Salesforce admin tool, look at Cloudingo, Plauti, or DemandTools. If your Recipes work and duplicates stay low between runs, stay on Insycle.
How to choose
- Your duplicates keep coming back, or you don't have time to maintain templates. Choose Quill.
- You need more than dedupe, such as hierarchies, missing fields, or stale pipeline. Choose Quill, or Openprise if you want a platform your team runs. Our guide to measuring CRM data quality helps you size the problem first.
- You run two CRMs or are merging after an acquisition. Choose Quill.
- You are on HubSpot, mostly need dedupe, and want a low price. Try Koalify or HubSpot's own tools first.
- You are on Salesforce and want a self-serve admin tool. Look at Cloudingo for published pricing, Plauti for prevention at entry, or DemandTools for heavy data loading.
- Your Insycle setup is working. Stay on it. Switching costs time.
Frequently asked questions
Does Insycle find duplicates automatically?
Insycle finds duplicates using the templates you configure, and it can run them on a schedule or from a HubSpot workflow or Salesforce Flow. You define what counts as a duplicate, so the quality of the results depends on how well your templates match your data.
How much does Insycle cost?
For up to 100,000 records, Insycle costs $100 per month billed annually for one module, $150 for two modules, and $200 for all modules, as of October 2026. Monthly billing costs 25% more, and Enterprise pricing is by quote. The price is recalculated at renewal from the number of records in your connected databases.
Can HubSpot's built-in tools replace Insycle?
For basic duplicate review, yes. HubSpot Professional and Enterprise list suspected duplicate contacts and companies, and Data Hub Professional and Enterprise add bulk merge and up to two custom duplicate rules per object. HubSpot does not offer Insycle's fuzzy matching options, deal deduplication, or scheduled templates.
Why do duplicates come back after an Insycle cleanup?
A cleanup removes the duplicates that exist on the day it runs. Integrations, forms, and list imports keep creating new records afterwards, and some arrive in formats your templates don't match. Running Recipes more often helps, and so does fixing the sources.
